KI BMS is what people use when Workable stops fitting. Below is the honest side-by-side - same product surface, different posture: hosted in Germany, no third-party trackers, one honest price - plus the migration mechanics that decide whether the switch lands in an evening or in a quarter.

At a glance

Workable is right when you run an internationally distributed recruiting setup: roles in Berlin, London, Lisbon, multi-language, built-in distribution to ~200 boards. KI BMS is right when your recruiting focus is DACH: hosted in Germany, GDPR auto-anonymisation, direct founder line, monthly contracts. Features are similar - the difference is market specificity.

Switching

What moving from Workable actually looks like

The switch goes in three rough phases: export from Workable, import into KI BMS, and reorganise what came over. Most people allocate an evening for it. The export side is where the time goes - Workable hands you a CSV/JSON dump and the field mapping isn't always obvious; once that's resolved the import is a couple of minutes. We don't paywall the import path or pretend it's a pro-only feature, and you can run both side-by-side while you decide.

When to pick which

Pick KI BMS when

Your recruiting is DACH-centric; DPA + hosting in Germany are mandatory, not nice-to-have.
You want KI pre-sorting without an add-on surcharge from day 1.
Small to mid recruiting load (5-30 open roles per quarter); Workable's list price doesn't pencil out at that scale.

Pick Workable when

You recruit in 5+ countries simultaneously and need multi-language UI for hiring managers.
Your application source is primarily international job boards (Indeed Global, Monster International).
You're already on Workable and the migration cost outweighs the monthly price advantage.

Where Workable has a real advantage

Workable has two strengths rarely found together in the market: multi-job-board distribution (a role appears in 200+ boards) and multi-language UI for hiring managers in internationally distributed teams. If your company has hiring managers in Madrid, Berlin and Helsinki who all want to click in their own language, Workable is the natural pick.

Where the DACH market demands a specialist

Three DACH specifics an international tool doesn't ship by default: Hosting in Germany (Workable hosts in EU/US depending on region; that's GDPR-compliant, but a German data protection officer still wants the DPA signed). Auto-anonymisation after retention window (configurable in Workable, default in KI BMS). German language + market idiom in templates, onboarding, docs - sounds small, but HR teams notice.

Price reality

Workable starts publicly at ~$169 per month (pay-as-you-go, no sourcing add-on, no KI). Add the AI module and 1+ active role and you're quickly at ~$400-700 per month. Fits TA teams with single- to double-digit hires per month. At smaller volumes it's overprovisioned.

Step by step
1

Export from Workable

Find the export option in Workable's account settings. Most tools provide a CSV or JSON download. Save the dump locally - that's the source of truth for the next step.

Account settings → Export / Download data
Pick the broadest format the tool offers (usually JSON)
2

Map fields in KI BMS

Open the import tool in KI BMS. Workable's field names rarely match KI BMS' 1:1; the import flags any unmapped columns so you can pair them up before anything commits.

Account settings → Import
Resolve the mapping prompts the tool surfaces
3

Run the import

Run the import. KI BMS shows a preview of the first parsed rows in the import dialog so you can sanity-check the column mapping + a sample of records before anything commits. If you're nervous about a large dump, import a small subset first, verify it landed the way you expected, then run the full file.

4

Re-create your views, tags, saved searches

Workable-specific UI metadata (custom views, saved filters, in-app annotations) doesn't transfer with the data export. Spend an evening rebuilding the views you used most - usually a 30-minute job once you've done it once.

5

Cancel Workable when you're confident

Run both side-by-side for a couple of weeks if you want to be sure. When you're confident, cancel the Workable subscription from their side. KI BMS keeps your export option self-serve in account settings - no lock-in either direction.
