KI BMS is what people use when SmartRecruiters stops fitting. Below is the honest side-by-side - same product surface, different posture: hosted in Germany, no third-party trackers, one honest price - plus the migration mechanics that decide whether the switch lands in an evening or in a quarter.

At a glance

SmartRecruiters is right when you're 250+ staff with a dedicated recruiting team of sourcers, coordinators, and a procurement process for 5-6 figure annual contracts. Smart Assistant + Marketplace + Branded Career Site are real depth if you use them. KI BMS is right when you're under 100 staff, want to be productive in 5 minutes, and want to do the 95% of recruiting that's standard, modern - without a 4-12 week implementation project.

Switching

What moving from SmartRecruiters actually looks like

The switch goes in three rough phases: export from SmartRecruiters, import into KI BMS, and reorganise what came over. Most people allocate an evening for it. The export side is where the time goes - SmartRecruiters hands you a CSV/JSON dump and the field mapping isn't always obvious; once that's resolved the import is a couple of minutes. We don't paywall the import path or pretend it's a pro-only feature, and you can run both side-by-side while you decide.

When to pick which

Pick KI BMS when

You're 1-100 staff and recruiting is part of the work, not the whole department.
You want KI pre-sort with reasoning as a default - not as a Smart Assistant add-on requiring its own onboarding.
Hosting in Germany with DPA in 24h is mandatory, not a contract negotiation item.
You want public prices visible before a sales cycle starts.

Pick SmartRecruiters when

You're 250+ staff with 100+ roles per year and a recruiting team with sourcers + coordinators.
You need the full AI stack: Smart Assistant for sourcing + Smart Match for application scoring + Smart CRM.
600+ marketplace integrations have concrete value for your existing HR-tech stack decisions.

What SmartRecruiters' AI suite actually does

SmartRecruiters has leaned hard into AI since 2023. Smart Assistant can source (scan LinkedIn profiles against a profile, draft outreach mails), Smart Match delivers a match score per application with reasoning, Smart CRM holds talent-pool relationships across years. Used to the full, you have recruiting tooling at a level only big US players ship.

What the Smart stack doesn't address: in a setup with only 5-15 roles per quarter, most of the AI depth is unused capacity. Sourcing AI without a sourcer to operate it is an expensive option no one uses. Smart CRM for a 200-candidate pipeline is overkill.

The procurement reality

SmartRecruiters' smallest European contract starts at ~€12,000/year (list, pre-negotiation). Implementation partners add €5-15,000 one-off. Minimum term one year, often three. That's a procurement process with HR + finance + IT in the room, lasting three to six months.

KI BMS picks the other strategy: public prices (€0, €1, €10/month), monthly cancellation, DPA in 24h, setup in 8 minutes. The choice isn't between 'good' and 'bad', it's between 'ready to touch' and 'big programme with big depth'. People who need the big programme know it. People who don't have long not known the alternative existed.

Step by step
1

Export from SmartRecruiters

Find the export option in SmartRecruiters's account settings. Most tools provide a CSV or JSON download. Save the dump locally - that's the source of truth for the next step.

Account settings → Export / Download data
Pick the broadest format the tool offers (usually JSON)
2

Map fields in KI BMS

Open the import tool in KI BMS. SmartRecruiters's field names rarely match KI BMS' 1:1; the import flags any unmapped columns so you can pair them up before anything commits.

Account settings → Import
Resolve the mapping prompts the tool surfaces
3

Run the import

Run the import. KI BMS shows a preview of the first parsed rows in the import dialog so you can sanity-check the column mapping + a sample of records before anything commits. If you're nervous about a large dump, import a small subset first, verify it landed the way you expected, then run the full file.

4

Re-create your views, tags, saved searches

SmartRecruiters-specific UI metadata (custom views, saved filters, in-app annotations) doesn't transfer with the data export. Spend an evening rebuilding the views you used most - usually a 30-minute job once you've done it once.

5

Cancel SmartRecruiters when you're confident

Run both side-by-side for a couple of weeks if you want to be sure. When you're confident, cancel the SmartRecruiters subscription from their side. KI BMS keeps your export option self-serve in account settings - no lock-in either direction.
